Where Artificial Intelligence Supports the Firm — and Where It Does Not
Cahill Tax and Financial Services LLC uses artificial intelligence selectively to reduce administrative work, improve organization, and support routine business processes. Human judgment remains central whenever facts, professional advice, client circumstances, or accountability materially affect the outcome.

Operating principle: AI may be used when Brandyn Cahill’s personal involvement would provide no substantial additional value to the client or the business, provided the task can be performed accurately, securely, and with appropriate human oversight.
Current administrative uses
Current AI use is primarily administrative and operational rather than client-facing. Depending on the task and the safeguards available, AI may assist with:
- Organizing non-client operational information
- Drafting internal checklists, procedures, and administrative materials
- Scheduling support and workflow organization
- Summarizing non-sensitive administrative information
- Website maintenance and technical support
- Research organization and preliminary drafting
- Editing, formatting, proofreading, and quality-control assistance
- Identifying repetitive processes that can be handled consistently
Using AI for an administrative task does not mean that a tax return, client document, or sensitive client information is automatically provided to an AI system. Current administrative workflows are designed to avoid submitting client tax documents and sensitive tax-return information to general-purpose AI tools.
Phone and email correspondence. Incoming texts, voicemails, and client emails to the firm are reviewed once daily with AI assistance to help sort messages, prepare a callback list, and draft routine scheduling replies. Calls to the firm’s business line may be recorded, with an audible notification.
This review is administrative sorting and drafting only. No reply is sent and no appointment is booked without the firm’s direct review and approval. If a voicemail, text, or email contains specific tax figures, positions, or other substantive tax detail, it is set aside for the firm’s direct attention rather than summarized or acted on automatically. Callers and email correspondents should avoid stating Social Security numbers, account numbers, or other highly sensitive identifiers over the phone or by ordinary email; use the secure client portal for that information instead.
Professional work that remains human-directed
AI does not replace the professional responsibility, judgment, or accountability of Cahill Tax and Financial Services. AI is not used to independently:
- Prepare or deliver individualized tax advice
- Determine a client’s final tax position, election, filing treatment, or recommendation
- Approve, sign, authorize, or electronically file a tax return
- Interpret a client’s documents and issue a final conclusion without professional review
- Make engagement, conflict, identity-verification, security, or risk decisions on behalf of the firm
- Present automated responses as personally written or reviewed by Brandyn
Tax advice remains a professional service. A final answer must account for the client’s actual facts, applicable law, available documentation, uncertainty, and the limits of the engagement. AI-generated text is not treated as a substitute for that work.
Blogs and educational content
AI may assist with outlines, early drafts, editing, organization, readability, formatting, or research planning for website articles and educational material. It is not used to publish a complete factual, advisory, or opinion-based article without human review.
Before publication, factual statements are reviewed and corrected when they do not match reliable sources or real-world circumstances. Opinions, recommendations, and advice are reviewed to ensure they reflect the firm’s actual judgment rather than the automated system’s wording or assumptions.
Human review does not make any article individualized advice. Published content remains general educational information unless a separate professional engagement states otherwise.
Current client-facing AI
At the time of this statement, the website does not offer an AI system that provides individualized tax advice, analyzes client tax documents, recommends tax positions, or represents itself as the client’s tax professional.
Visitors may encounter ordinary automation — such as scheduling links, portal workflows, confirmations, or system-generated notices — that does not independently provide professional judgment.
Planned scheduling assistant
A future client-facing scheduling assistant is being considered. Its intended purpose would be limited to administrative assistance, such as:
- Helping a visitor identify the appropriate appointment category
- Explaining basic scheduling and service-intake steps
- Directing visitors to available scheduling options
- Assisting a visitor with self-scheduling
The planned assistant would not provide individualized tax advice, interpret tax documents, determine eligibility, promise acceptance as a client, make tax recommendations, or create a professional relationship. It would be identified as an automated tool rather than presented as Brandyn personally.
This future tool is not described here as an active service. Its final functions, disclosures, security controls, and limitations will be added to this page when they are established and the tool is deployed.
Human oversight and accountability
Cahill Tax and Financial Services remains responsible for the work it accepts and the communications it approves. AI output may be incomplete, inaccurate, outdated, overly confident, or based on an incorrect assumption. Material output is reviewed at a level appropriate to the risk and purpose of the task.
When an AI-assisted result affects published facts, client communications, professional work, or a business decision, the firm determines whether additional verification, correction, or direct human involvement is required.
Privacy, confidentiality, and security
AI use is evaluated in light of confidentiality, tax-return-information restrictions, data sensitivity, provider terms, security controls, and the purpose of the task. Administrative convenience does not override legal or professional obligations.
Clients should not submit tax returns, Social Security numbers, identity documents, banking information, or other sensitive material to a future public chatbot or through ordinary email. Sensitive records should be transmitted only through the secure client portal or another method specifically approved by the firm.
Transparency when automation is client-facing
When a materially client-facing AI or automated conversational system is deployed, the firm intends to identify that the visitor is interacting with automation, explain its purpose, describe important limitations, and provide a way to reach a person when the automated pathway is insufficient.
New client-facing uses will be added to this statement after the use case, data handling, review process, and boundaries are sufficiently defined.
Corrections and updates
If an AI-assisted website statement or automated response is found to be materially inaccurate, the firm may correct, remove, or clarify it. This statement will be reviewed as the firm’s tools, policies, and client-facing uses change.
